- Nothing is confirmed until the 25% deposit is paid.
- Your date is only held once the deposit is paid. Until then, another client can book it.
- After your request, we email you the contract and the invoice, with a payment link for the deposit.
- VAT is not charged at present.
1Who you're contracting with
Services are supplied by World Pickleball Media Ltd (company number 16892527), Manor View, Twemlow Lane, Cranage, Crewe, England, CW4 8EX ("WPS", "we"). "You" means the organiser or brand making the booking.
2Requests, contract and confirmation
Sending a booking request does not confirm a booking or hold a date. After your request, we check availability and email you the contract and the invoice, with a payment link for the 25% deposit.
A booking is confirmed only when the contract is agreed and the 25% deposit has been paid. Your date is held only from that point.
The services are those in your quote and contract. The daily broadcast schedule and commentary hours are agreed in writing before the event. Any changes, extra services or charges must be agreed in writing first.
3Prices, VAT and travel
Prices are in GBP and are the prices shown in your quote and invoice. A price agreed for one event doesn't set the rate for future events; each new event is quoted separately.
VAT is not charged at present. World Pickleball Media Ltd is not VAT registered.
Remote coverage has no travel costs. If we work on site, travel and accommodation are charged on top, as agreed in writing beforehand.
4Technical condition and test
Coverage depends on you being able to supply a live event feed suitable for remote production and commentary. Before the event, we and your technical team complete an end-to-end test of the picture, event audio, connection stability and how our commentary is returned to your broadcast. We confirm in writing when the test has passed. Until then, delivery is not guaranteed.
If a suitable feed can't be supplied or the test is unsuccessful, either of us may cancel without a cancellation fee. Any advance payment is refunded, except for setup or design work you authorised that we have already completed.
5Payment
The 25% deposit is payable to confirm the booking. The balance is due five days before the first event date, provided the technical test has passed. If the test passes later than that, the balance is due when we confirm it, and before coverage begins.
6What you supply, and when
You provide:
- The stream feed and uplink: the live event feed, the venue internet connection for it, access details, and a technical contact available during the broadcasts. Feed details are needed in time for the technical test.
- Player information and photos: accurate schedules and player details. Player photos are due at least 7 days before the first event date; photos sent later are charged at £1 per player.
- Sponsor and branding assets: logos and approved branding, at least 7 days before the first event date.
You are responsible for having permission to supply the feed and the assets, and to authorise their use for these services.
We provide our remote commentary equipment, studio setup and our own internet connection.
7Interruptions and venue internet
We'll both work to fix technical interruptions promptly. We are not responsible for interruptions caused by the event feed, the venue internet or other systems outside our control.
Once the technical test has passed, interruptions to your feed or venue connection during the event don't reduce the agreed fee, as long as we remain available to provide coverage.
8Footage and usage rights
You keep ownership of your event recordings and broadcasts. We keep ownership of our pre-existing studio systems, layouts and other materials. Event and sponsor branding stays with its rights holders.
WPS and Chris Beaumont may use excerpts of the commentary and the resulting broadcast for professional promotion, including showreels, websites and social media. Where practical, commentary is credited as Chris Beaumont, World Pickleball Magazine.
9Cancellation and refunds
If you cancel within six weeks of the first event date, after the technical test has passed, the full fee for the booked coverage remains payable, together with any setup or design work already completed. This applies whether the event is cancelled or you decide not to use the services.
If you cancel more than six weeks before the first event date, we refund the deposit, less any setup or design work already completed.
Cancellation because the technical condition can't be met is covered by section 4.
10General
WPS acts as an independent contractor; nothing here creates an employment relationship. We are responsible for our own taxes and insurance.
